Privacy Policy

This policy explains what information FlexTennis collects, how we use it, and the choices available to you when you use the league service.

Information We Collect

Depending on the features you use, we collect:

  • Account information: your name, email address, sign-in provider, and the password hash for a FlexTennis password. We do not store passwords in plain text.
  • Tennis profile information: your name, email, phone number, skill level, availability, preferred courts, and optional profile picture.
  • League activity: league registrations, group assignments, scheduled matches, scores, standings, ratings, and calendar requests.
  • Notifications: your email and push-notification preferences. If you enable browser push, we store the browser subscription details needed to deliver it.
  • Technical information: necessary session, security, and sign-in information, including cookies used to keep you signed in and protect forms.
How We Use Information
  • To create and secure accounts, authenticate sign-ins, and recover passwords.
  • To place players in leagues and groups, support scheduling, calculate ratings, and display match history and standings.
  • To send transactional account, match, calendar, invitation, and result notifications according to your notification settings.
  • To prevent abuse, protect the service, troubleshoot problems, and enforce our Terms & Conditions and rules.
Who Can See Your Information

FlexTennis is designed around players finding one another. Your name, skill level, availability, preferred courts, profile picture, match history, scores, ratings, and standings may appear on public league and member pages.

Your email address and phone number are restricted to you, league administrators, and members who share an active rating group with you. That access is intended to help players arrange matches and ends when the shared active group relationship ends. We do not sell your personal information or use it for targeted advertising.

Service Providers

We may use third-party services to operate specific features:

  • Google: if Google sign-in is enabled and you choose it, Google provides the account profile information needed to authenticate you.
  • Email delivery: transactional email may be sent through our email delivery provider, which receives the recipient address and message needed to deliver it.
  • Profile-image storage: profile pictures may be stored with the deployment's configured storage provider.
  • Browser push services: when you opt in to push notifications, the browser's push service helps deliver encrypted notifications to your device.
  • Abuse prevention: Google reCAPTCHA may process registration-related information when that feature is enabled.

These providers process information as needed to provide their services and may have their own privacy policies and terms.

Cookies and Notifications

We use essential cookies for sessions, form security, and the optional “Stay signed in” feature. These cookies help the service function and are not used for advertising or cross-site analytics. You can control cookies through your browser, although disabling essential cookies may prevent sign-in and other features from working.

Email match reminders can be turned off in your account settings. Push notifications are opt-in and can be disabled in your account settings or through your browser's notification permissions.

Retention and Your Choices
  • You can review and update profile and notification information through the app.
  • You can remove an optional profile picture and disable push notifications at any time.
  • Contact a league administrator if you want to close your account or request access to, correction of, or deletion of your personal information.
  • We retain information for as long as needed to operate the service, preserve league and match history, resolve disputes, protect the service, and meet legal obligations. Some historical records may remain after an account is closed.
Security and Changes

We use reasonable administrative and technical safeguards to protect information, including password hashing, access controls, protected sessions, and encrypted connections in production. No internet service can guarantee absolute security.
